ADMINISTRATIVE ASSISTANT, UHNBC MEDICAL AFFAIRS

Position Summary

Northern Health is looking for an experienced, highly efficient, and self-directed Administrative Assistant to support the UHNBC Medical Affairs department.

The Administrative Assistant provides secretarial, clerical and administrative support to the UHNBC Chief of Staff and UHNBC Coordinator – Medical Affairs, UHNBC Medical Affairs Department, Department Heads and related committees. The incumbent is responsible for the provision of administrative support, including agenda preparation, minute taking/transcription for the UHNBC Medical Advisory Committee. The Administrative Assistant is also responsible for the credentialing and privilege process for all new medical staff at UHNBC, the onboarding process and requirements, and ensuring the proper processes and guidelines are followed for privilege status changes. Other duties include the distribution of mail for the Medical Affairs office and ordering supplies.

Starting salary will be approximately from $49,445 to $61,806 and will be based on education, training, experience, and salaries of similar positions.

Qualifications

• Grade12 supplemented by successful completion of an administrative diploma/certificate plus progressive administrative assistant experience, or an equivalent combination of education, training and experience.
• Completion of a course in Medical terminology an asset.
• Experience in minute taking an asset.

• Excellent interpersonal and organization skills with an ability to deal with staff, Medical Staff and the general public in an effective and professional manner.
• Ability to operate basic office equipment.
• Computer literate with proficient knowledge of Outlook, Internet, Word and Excel.
• Ability to organize and prioritize work with minimal direction.
• Ability to adapt and be flexible to rapidly changing priorities and demands.
• Excellent listening, oral and written communication skills.
• Professional telephone manner.
• Ability to be discreet and maintain confidentiality.
• Strong time management skills.
• Ability to type 60 w.p.m.
• Strong ability to mentor, coach and empower others to support and lead transformation
• Ability to develop presentation graphics and spreadsheets.
• Physical ability to perform the duties of the position.
• Ability and willingness to travel.
